How to Print Online Orders Straight to Your Kitchen Printer (No POS Needed)

How an online order actually gets to your kitchen printer

The pipeline is simpler than most owners expect. A customer places and pays for an order on your ordering page. The ordering system turns that order into a docket, with the items, the modifiers and the pickup time laid out for a kitchen to read. Then the docket makes its final hop to the printer, and this last hop is where setups differ. There are three common ways it happens.

1. The printer collects jobs itself. Modern Epson and Star receipt printers can connect to the internet through your router and fetch waiting print jobs on their own. No computer, no tablet, no middleman. If the power flicks off and back on, the printer reconnects by itself and keeps going. This is the setup we recommend for almost everyone.

2. A small box on your network. Some venues run a little device that receives orders and passes them to one or more printers, including older models that cannot talk to the internet themselves. It works well, and it is a good way to keep using a printer you already own.

3. An app pushing to a Bluetooth printer. A tablet or phone runs an app, and the app pushes each docket to a nearby Bluetooth printer. This is the cheapest way to start and the most fragile way to run. Bluetooth drops out when the tablet sleeps, updates itself, or gets moved out of range, and it always seems to happen mid-service.

The rule of thumb: the fewer devices between the internet and your printer, the fewer things can break on a Friday night.

Do you need a POS to print online orders?

No. This surprises a lot of owners, because almost everything written about kitchen printing assumes you have a POS system and the printing runs through it. A POS is one way to get there. It is not a requirement.

There are three honest paths:

You already run a POS you like. Square, Lightspeed and similar systems can route their own online orders to a connected printer. If you are happy with your POS and its ordering page, use it. Just check what the online ordering side costs per month and per order, and whose branding the ordering page carries.

You run your own website with WooCommerce. There are printing plugins that send website orders to a receipt printer. This is the path most overseas guides describe. It works if you have someone comfortable maintaining a WordPress site, and you are prepared to assemble the ordering experience yourself.

You use an ordering system with printing built in. No POS and no plugins. Your menu lives on an ordering page, customers order and pay from their phone, and dockets print in your kitchen. This is the path built for independent venues that do not want to take on a POS project just to get online orders onto paper.

What printer do you actually need

Receipt printers come in two families, and the right answer depends on where the printer will live.

Thermal printers burn the print into heat-sensitive paper. They are fast, quiet and crisp, and the paper is cheap because there is no ink or ribbon to replace. A solid Ethernet thermal printer like Epson's TM-T82 series starts from about $320 in Australia. Mid-range models like the Epson TM-m30III run around $420 to $490, and Star's TSP143IV sits around $530. Thermal is the right choice for a front counter or a bar.

Impact printers stamp ink onto plain paper through a ribbon, like a tiny dot matrix printer. They are noisier and slower, and in a kitchen both of those are features. The clatter tells the kitchen a docket has landed without anyone watching for it. More importantly, plain paper does not care about heat. Thermal paper prints by reacting to heat, so a hot kitchen is its natural enemy. Park a thermal docket under a heat lamp or next to a pizza oven and it can darken until it is unreadable. A common mistake is treating the kitchen docket and the customer receipt as the same piece of paper. They have different jobs.

The kitchen ticket is a work order. It should be big type a chef can read at arm's length over a hot bench, with modifiers impossible to miss and the pickup time obvious. Prices do not belong on it. Nobody cooking cares what the tiramisu costs.

The customer receipt is a tax document. In Australia, a customer can ask you for a tax invoice, and for sales under $1,000 it needs things like your business identity, your ABN, the date, a description of what was sold, and the GST. The ATO publishes the exact requirements. Handwriting one during Friday service is nobody's idea of a good time.

A good setup produces both without anyone thinking about it. The kitchen gets its ticket, the customer gets an emailed receipt, and a proper tax invoice docket can print alongside the kitchen ticket for venues that want paper. If a system you are looking at only does one or the other, keep looking.

What happens when a print fails

Every printer fails eventually. Paper runs out mid-roll. Someone unplugs the wrong cable while cleaning. The router restarts itself at the worst possible moment. This is not a reason to avoid kitchen printing. It is a reason to care about what happens next.

The one thing that must be true: the order is never lost. The docket is a copy. The order itself should live safely in your orders dashboard, paid and intact, whether or not paper came out. From there, a well-designed system does three things:

  • It tells you a docket did not print, flagged on the order itself, rather than leaving you to find out when a customer walks in.
  • It gives you a reprint button, so recovering takes one tap once the printer is back.
  • It warns you when a printer stops responding, so you find out before the dinner rush rather than during it.
